A WhatsApp AI agent is an assistant that answers your customers’ messages on WhatsApp, looks up what it needs in your systems, takes simple actions such as creating a booking, and hands the conversation to a person when it should. It runs on the official WhatsApp Business platform, so it uses your business number and your customers write to you as they already do.
This article explains how it works, what makes up the cost, and what to check for GDPR. It does not quote prices, because they depend on your case and on rates that the platform providers change.
How does a WhatsApp AI agent work?
There are four parts:
- The channel. Messages arrive through the WhatsApp Business API, which is the official way for software to send and receive WhatsApp messages for a company.
- The workflow. An automation platform such as n8n receives each message, decides what to do and keeps the conversation history.
- The language model. A model such as Claude or an OpenAI model reads the message and writes the reply in natural language, using only the information you have given the agent.
- Your systems. The agent can read from and write to your calendar, CRM or booking tool, so that the answers are correct and actions really happen.
When the agent is unsure or the topic is sensitive, it stops and hands over to a person, with a short summary so the customer does not have to repeat themselves. You can see this in practice in our rental guest agent case study.
What can it do for a small business?
- Answer the same questions at any hour: opening times, prices, availability, directions, policies.
- Take bookings and requests and write them into your calendar or CRM.
- Send you a summary of every handover or booking.
- Let you control it from WhatsApp itself, for example to pause it or take over a chat.
It cannot replace you in conversations that need judgment, such as complaints or negotiation. It is there to handle the routine so that you can concentrate on those.
What does it cost?
The cost has four parts, and it helps to ask a provider about each of them:
- Build. Designing the agent, connecting it to your systems and testing it on your real conversations. This is a one-time cost and depends on how many systems and cases are involved.
- WhatsApp fees. Meta charges for messages sent through the WhatsApp Business API. The rates depend on the country and on the type of message, and Meta publishes them. Check the current price list for your market.
- AI usage. The language model is paid by usage. For a small business with moderate message volume, this is usually a minor part of the total, but it grows with volume.
- Hosting and maintenance. Running the workflow, monitoring it and updating it when something changes.

Is a WhatsApp AI agent GDPR-compliant?
It can be, when it is set up with care. GDPR is about how personal data is handled, not about the technology. These are the points to check:
- Tell people. The customer should know they are talking to an automated assistant, and where to find your privacy information.
- Know who processes the data. Messages pass through WhatsApp (Meta), your workflow host and the AI provider. Each of them should have a data-processing agreement in place, and you should know where data is processed.
- Send less. Only the data the task needs should reach the AI model. Where possible, personal details are removed first.
- Choose provider settings carefully. Check that your data is not used to train the provider’s models.
- Limit what is stored. Keep conversations only as long as you need them, and have a way to find and delete a person’s messages when they ask.
- Keep a human option. The customer should be able to reach a person.
- Document it. Add the agent to your records of processing.

What should you prepare before starting?
- Your business information in one place: services, prices, policies, opening times.
- A list of the questions customers ask most, with the answers you give.
- A WhatsApp Business number or the willingness to set one up.
- The person who will take over when the agent hands off.
