What it does

A workflow is a set of steps that runs by itself when something happens: an order arrives, an invoice is issued, an email comes in, or a time is reached. It reads data from one system, checks it, and writes it to another. People are involved only for decisions.

Typical examples:

  • Orders to invoices. A new order in your ERP creates a draft invoice in your accounting software. Your team reviews and sends it.
  • Payment follow-up. Overdue invoices are found every morning, and the right reminder goes to the customer in the right language.
  • Document routing. Incoming supplier invoices or contracts are filed in the correct folder and the right person is notified.
  • Reports without spreadsheets. Figures from several systems are collected into one report that arrives on schedule.
  • Customer data in sync. A change in your CRM is reflected in your billing and support tools, so no one works from an old record.

Where classic automation is the right choice

If the rules are clear, a simple workflow is faster, cheaper and more predictable than an AI model. We use ZT Flow when the process can be described as “when X happens, do Y”. When the input is messy, such as scanned documents or free-text messages, we add AI steps and that becomes ZT Flow AI.

Security & data

How your data is handled

Each workflow gets its own credentials with only the permissions it needs. Secrets are stored in the automation platform, never in documents or chat. Runs are logged, and we document where data goes at every step.

Common questions

Which tools can you connect?

Most business software that has an API or a standard export, including ERP and CRM systems, accounting tools such as SmartBill, email, spreadsheets, databases and messaging. If a tool has no API, we say so before the proposal and look for another route.

Do you build on n8n only?

We mainly use n8n, self-hosted or cloud. We also work with Make and Python when they fit better, and we tell you which one we recommend and why.

What happens when something fails?

Failed runs raise an alert and are logged. Where it makes sense, a failed step is retried automatically, and anything that cannot be resolved is sent to a person with the details needed to fix it.

Can my team change the workflow later?

Yes. The workflow is documented and runs on an account you control, so your team or another provider can maintain it. We can also keep maintaining it for you.
